We have a Scout that is not showing up in Scoutbook (SB)

This guide is for Scoutbook Unit Administrators, you need that access to accomplish these tasks.

Newly registered Scouts should be showing up in your roster within 48 hours after being approved and registered by your council and showing up in Member Manager at my.scouting.org. We strongly advise that you wait for the new scout to show up on your roster. Adding them and then expecting the system to match them can cause duplicate records.

If you have a Scout that is not showing up in Member Manager at my.scouting.org then please contact your local council service center.

If you have a Scout that is not showing in Scoutbook but is in your unit in my.scouting.org see the following:

A unit key 3 member (unit leader, committee chair, or chartered organization representative) should login to http://my.scouting.org and  verify in Member Manager at my.scouting.org that the Scout is still on the unit’s roster.  If not, please contact your local council and ask them to check the Scout’s registration.

If the Scout shows on the unit roster in my.scouting, then in Scoutbook, go to My Dashboard -> My Units -> Roster, then click on your name. Once you’re there, click on your positions, then the your position, then click the big red Update button. If you are separately listed as a Admin, do the same thing there. This will reestablish your connections in Scoutbook.

If the Scout is still not on the unit’s roster but is present in Member Manager, a parent or Pack or Troop Scoutbook administrator can find and move the Scout into your Troop or Pack by clicking My Dashboard > My Account > My Connections > Select the account for the Scout that doesn’t have a Unit listed under their name > Scout’s Membership > Add > Enter the Council, Unit Type, Unit Number, BSA Unit Description, Patrol or Den, and a Start Date > Update.

If the Scout doesn’t appear in your connections, try bringing them in with the transfer tool:  See: https://help.scoutbook.scouting.org/knowledge-base/transferring-a-scout-between-units-sb/

New Parent Search Tool

For parents: If you have a Scoutbook account or a My.Scouting account you can attach yourself to your scout Log into Scoutbook at scoutbook.scouting.org, with your Scoutbook or my.scouting.org account credentials then navigate to My Dashboard -> Administration -> My Account -> My Connections and click the new “Connect to your Scout” link. The search requires the Scout’s BSA Member ID, last name, zip code (as recorded in Scoutbook) and date of birth. Once the Scout is found and confirmed, you will be connected to your Scout with Full Control.

If the Scout needs to be activated for Advancement Sync, see the guide here.
