Scoutbook now has an Online Ordering feature to BSA Supply for Ranks, Awards, and Badges.

Carefully review the items in your PO before using this feature. Don’t use the View Cart or Add PO Items to Cart buttons unless you are committed to ordering from scoutshop.org, including shipping and sales tax

Make sure you read the FAQ at the bottom of this guide before proceeding.

The Online Ordering Shopping Cart is launched from the Purchase Order process in Scoutbook. It will enable direct ordering to Scoutshop.org

Make sure your PO is finalized to what you wish to purchase.

This processing may take a few minutes for large orders.

You can cancel the cart by closing the ScoutShop window prior to completing payment or placing the order.

Following are the steps for using this new feature:

  1. From the Purchase Order, click on the Add to Shopping Cart and verify that PO items are displayed and complete.
    • When all PO Items are available in ScoutShop.org you will be brought to the ScoutShop.org screen.
  • If there are PO Items not available in the ScoutShop.org, you will be asked to remove them from the PO, which you can do by pressing the button. After removing the items not in stock, press the add to cart button again. You will be sent to the ScoutShop.org.

  • Add your shipping address and select the shipping option.
  • Then view the Order Summary and verify it is correct.
  • Next, after Continue to Payment is clicked, check that you are redirected to Scout Shop – Checkout – Review & Payment.
  • Confirm that your Billing Address, Order Summary, PO Items, Shipping Address and Method are correct.
  • Next verify that you can select Payment, and that after selecting Payment, the Place Order Button is displayed.  Payment may be completed by Credit Card or Gift Card. If paying by credit card, input information and the recaptcha, there is a Complete button to process payment. If using a gift card, input card number and click apply before clicking Complete.
  • Next verify that you can select Payment Method. Payment may be completed by Credit Card or Gift Card.
    1. For Credit Card payment, need to complete all the credit card details and input reCAPTCHA. To complete the Credit Card Payment, click Completed button.
  1. For Gift Card payment, need to input Gift Card then click Apply. Verify that the following are available:
  2. No Payment Information Required radio button.
  3. Place Order button
  4. A message that Gifts Card was added.

To complete the Gift Card Payment, click Place Order button.

  1. You will receive an email confirmation that Your ScoutShop.org order is received.
  • Once the order is placed in Scoutbook, the completed PO status will be set to Closed. This will not be immediate and will occur later.

This is an intuitive process and functions like many E-Commerce Sites that you have used.

Frequently Asked Questions


1. What if items in PO are not available in the Online Ordering system (i.e., discontinued or out of stock?)

Answer:

When a user clicks on the ‘Add PO Items to ScoutShop.org Cart’ button and one or more items in the PO are not available to purchase, a warning note will display at the top of the PO page. The user has 2 options:

  • The user can manually remove unavailable PO items in Scoutbook using the ‘Delete Item(s) From Purchase Order’ button. The user can still print the PO and bring it to the nearest Scout Shop to purchase in person.
  • Or the user can click the ‘Remove items that are not available’ button in. Refer to Step 1

2. Can I add other items to the Scoutshop shopping cart that are not in the PO?

Answer:

In the current implementation, this is not possible. You can add items in the PO through Scoutbook. Close the ScoutShop window, add items to the PO, then click on the add to ScoutShop cart again. For items that are not available through Scoutbook, and are not restricted items, go directly to the ScoutShop catalog at: http://scoutshop.org

3. Can I remove items from the ScoutShop shopping cart that are in the PO?

Answer:

In the current implementation, this is not possible. You can add or remove items in the PO through Scoutbook.

4. Can I add or reduce the quantity of each item in the ScoutShop shopping cart?

Answer:

Same with Questions #2 and #3.

5. Can I still print the PO and bring it to a Scout Shop for in person purchase?

Answer:

Yes, users still have the option of printing the purchase order form and bringing it for in person purchase at a Scout Shop nearest you.

6. Can I have my order shipped to an APO, FPO, or DPO Address?

Answer:

Yes, ScoutShop.org supports shipments by USPS to APO, FPO, and DPO Addresses.

7. Can I cancel the ScoutShop.org cart?

Answer:

You can cancel the cart by closing the ScoutShop window prior to completing payment or placing the order.

8. Is there a Pick-up feature in online ScoutShop shopping?

Answer:

No, ScoutShop.org does not support the Pick-up feature.

9. My advancements are tax exempt when I purchase at my Scout Shop, will this online order still be tax exempt?

Answer:

No, Tax exempt status is currently not available on any ScoutShop.org purchase, including the beta Scoutbook integration. You still can print your PO to take or email (if supported) to your local Scout Shop for your tax-exempt purchase.

10. Our Council covers some of our unit advancement costs, is this option available in this online version?

Answer:

No, any advancements that are paid for by Councils or Unit Accounts still need to be purchased at the Scout Shop. Only purchases made with a credit card or gift card can be processed online.

11.  Can I add additional items to my online advancement Scoutbook order?

Answer:

You cannot add additional items from within the Scoutshop.org window. You will have to close that window, and add additional items to your Scoutbook PO then reclick on the cart button in Scoutbook to restart your cart in Scoutshop.org.

12. Can I use the Scoutbook online process to send my order to my local Scout Shop?

Answer:

No, the online Scoutbook sends the order directly to ScoutShop.org. If you want to send your order to your local Scout Shop, you can still download or print your PO for your local Scout Shop.
