Creating a PO Report to Bring to the Scoutshop from Scoutbook / Scoutbook Plus

To create a PO report that you can bring to the Scout Shop from Scoutbook / Scoutbook Plus, follow the following process:

  1. Make sure the items you wish to purchase have been approved in Scoutbook or Scoutbook Plus
  2. Create a PO of the items to purchase
  3. Print the PO to bring into the Scout Shop
  4. Close the PO
  5. Once the advancements are handed to the Scouts, mark them as awarded

1. Make sure the items you with to purchase have been approved in Scoutbook or Scoutbook Plus

Marking Items as Approved in Legacy Scoutbook

If you are a troop, crew or ship using Legacy Scoutbook, run the Needs Approval report and mark the appropriate advancements as approved.

If you are a Pack using Scoutbook Plus, follow these directions:

From the Roster Menu in Scoutbook Plus, click on the Advancements tab.

Then click on the To Approve tab

If you see a red dot next to a type of advancement, then there are items to approve.

Click on the item and then the Scouts you wish to approve the item for an then the Approve button

2. Create a PO

If you are using Legacy Scoutbook, if you click on the Needs Purchasing reports menu item, you will be redirected to the Scoutbook Plus To Purchase page.

After approving all the items you need to purchase, click on the To Purchase tab

Click on the Scouts you wish to purchase items for and click on Create PO

The items will be placed in a purchase order

3. Print the PO

Once you have created your Purchase Order, you can download the purchase order to bring to the Scout shop, or add it to the scoutshop.org shopping cart.

4. Close the PO

Close your purchase order when you receive your items.

Once you have closed an order, you can open closed orders to view them again, and print advancement reports if needed.

5. Mark Advancements Awarded

Finally, once the advancements have been given to the Scouts, mark the advancement as awarded.
You can do this in Legacy Scoutbook by running the Needs Awarding Report

You can do this in Scoutbook Plus by clicking on the To Award tab and selecting the advancements to mark awarded and clicking on Award Items

Generating an Advancement Report

If your council will not accept the PO report to purchase items at the Scout Shop, you can generate an Advancement Report by doing the following:

  1. Close the PO (see above)
  2. Click on the History tab

Then click on Quick Report and Advancement Report

Then on View Previous Reports

Troubleshooting

PO Not Showing


If you had a PO in legacy Scoutbook that is not showing in Scoutbook Plus:

  • go to SB+
  • Purchasing
  • go to Open PO
  • Edit/View Order
  • Delete EVERYTHING from PO
  • then CLOSE the PO
  • Go back to Purchasing and the legacy PO should then be there where you can add everything back that you just deleted.
